Every few months someone contacts our support team asking a version of the same question: "I just need Word and Excel — why is this so complicated?" It's a fair complaint. Between Microsoft 365, Office 2024, Office 2021, Standard, Professional Plus, Home and Business, and half a dozen other names Microsoft has used over the years, it's genuinely hard to tell what you're actually being sold.

This guide cuts through that. No jargon, no upsell — just what each current version actually gives you, and which one fits your situation.

The one thing to understand first: subscription vs one-time purchase

Nearly every confusing Office decision comes down to this single split.

Microsoft 365 is a subscription. You pay yearly (or monthly), and in return you get the full suite of apps, 1TB of OneDrive cloud storage, continuous feature updates, and — as of this year — Microsoft's Copilot AI tools baked in. The catch is straightforward: stop paying, and the apps drop into a read-only mode. Your documents stay yours, but you lose the ability to keep editing.

Office 2024 (and the older 2021 and 2019 editions) are one-time purchases. You pay once, install it on one Windows PC, and keep using it for as long as that computer runs — no renewal, no recurring charge, no surprise on your bank statement next year. The trade-off is that you don't get the newest features Microsoft adds after that release, and there's no cloud storage bundled in. For most home users and small businesses, that's an entirely reasonable trade.

Worth knowing: Microsoft 365 Personal increased from £59.99 to £84.99 a year in the UK earlier in 2026. Over five years that's over £400, for software that stops working the moment you cancel. A one-time Office 2024 licence costs a fraction of that, once, and it's yours for good.

The current versions, and what actually separates them

Office 2024 Professional Plus is the newest one-time-purchase edition Microsoft has released. It includes Word, Excel, PowerPoint, Outlook, Access and OneNote — the full desktop lineup, with nothing missing. If you want everything Office can do, on one computer, without a subscription, this is it.

Office 2024 Standard covers the same core applications — Word, Excel, PowerPoint and Outlook — but leaves out Microsoft Access. For most home users, students and everyday small-business use, that's genuinely no loss at all; Access is a database-building tool that the vast majority of people never touch. If you don't already know you need Access, you almost certainly don't.

Office 2021 Professional Plus is the previous one-time release. It's still a fully supported, genuine licence, and functionally very close to Office 2024 for everyday document, spreadsheet and email work — the differences between the two are mostly smaller quality-of-life features rather than anything most people would notice day to day. It's worth considering if you'd rather save a little and don't need to be on the very latest edition.

Office 2019 Professional Plus is the oldest edition still occasionally available. It's a genuine, older licence rather than a false economy, but it receives no further feature updates, and stock availability is limited — worth checking current stock before building a plan around it.

So which one do you actually need?

If you're a student or working from home and mostly writing documents, building spreadsheets and sending email, Office 2024 Standard covers everything you're likely to need, at the lowest one-time cost. If you're running a small business, managing customer records, or you've been told by an accountant or supplier that you need Access, step up to Professional Plus — the extra cost is small next to what Access unlocks.

If you've just replaced an old Windows 10 machine (support for Windows 10 ended in October 2025, so a lot of people are doing exactly this at the moment), Office 2024 is the sensible starting point simply because it has the longest runway of support ahead of it. If you're on a tighter budget and comfortable with a slightly older edition, Office 2021 Professional Plus is a genuine, fully functional alternative at a lower price point.

How to check which version you currently have

Before buying anything, it's worth confirming what's already on your computer — you might not need a new licence at all. Open Word or Excel, click File, then Account, and look under Product Information. You'll see either a product name (e.g. "Office Home 2024" or "Microsoft 365") if something is genuinely activated, or "Unlicensed Product" if nothing has been paid for on that installation yet.

If an old trial or subscription is still hanging around, it's worth removing it properly (via Settings > Apps > Installed apps) before installing a new licence — a leftover trial is the single most common cause of activation problems we see in support tickets.

Quick questions

Is Office 2024 much better than Office 2021?

Not dramatically for everyday use — the core apps work in a very similar way. The main practical advantage of 2024 is that it's the newer release, so it has longer ahead of it before Microsoft moves support on again.

Do I need Professional Plus, or is Standard enough?

If you don't already use Microsoft Access, Standard covers everything most people need. Professional Plus only matters if Access is something you specifically use or have been told you need.

Can I use a one-time Office licence on more than one computer?

No — each licence is for activation on a single Windows PC. If you need Office on multiple devices, either buy a licence per device or consider whether a Microsoft 365 subscription makes more sense for your situation.

Is a one-time Office purchase actually legal and genuine?
